Memo example 1: Schedule change.
Schedule conflicts pop up all the time. If you need to reschedule a whole-office meeting, a memo is a great way to spread the word.

Subject: Schedule change for marketing team meeting
Due to scheduling conflicts with several marketing team members, we're changing the date of our next team meeting from Thursday, February 22, to Tuesday, February 25, at 2pm. It will last for one hour, just like our standard team meetings.
With the launch of our next marketing campaign drawing near, we will take time during the meeting to discuss launch efforts, including going over action items from assigned team members.
Please let me know if you’re unable to attend.
Thank you for your flexibility.
Memo example 2: Policy change.

Here is a general timeline for the selection process:
- May 13-24 – Feedback collection period.
- May 27-31 – Feedback evaluation.
- June 3-14 – Program research and evaluation.
- June 17-28 – Conduct employee focus groups.
- July 1-26 – Finalize plan offerings.
- July 29 – Introduce new retirement plan program and begin enrollment process.
Please complete the attached feedback form and submit it directly to me or your direct supervisor by Friday, May 24th, so we can choose the best plan for our needs.
Thank you in advance!

Subject: Welcome to the team, Jennifer Capriano
Hello everyone,
We are excited to welcome Jennifer Capriano to the ShoreLine family. Jennifer will join us on April 8 as a Copywriter for the Content Team, reporting to Josh Anderson. She will be responsible for writing new blogs and landing pages for the website, and video scripts for future social media marketing campaigns.
Jennifer comes to us after five years working with Balance Inc. where she also worked as a marketing copywriter. She graduated from the University of North Carolina, Charlotte, with a degree in communications.
Some fun facts about Jennifer:
- Has a dog named Cindy-Lou.
- Prefers to ride a bike to the office (and other places).
- Must have at least three cups of coffee before tackling the day.
We are very excited for Jennifer to join the Content Team here at ShoreLine and lend us her expertise. If you happen to come across her in the hallway, be sure to introduce yourself. You can also reach Jennifer at jcapriano@shoreline.com or in the Content Team bullpen to say hello.
Welcome to the team!
Frequently asked questions.
How long should a memo be?
Memos are supposed to be short. They’re typically only a few paragraphs long but can reach up to one page in length. They shouldn’t go beyond one page at the most — but the shorter, the better.
Where do you post a memo?
Memos are usually printed and hung on the company bulletin board or around the office. However, you can also paste a memo into the body of an email for easy distribution to the entire office, especially if you have remote team members.
What file format is best for memos?
You never know what device someone might use to view your memo, which is why it’s best to save them as PDFs. It’s easy to convert Word to PDF online right from your web browser. You can also edit a PDF online to add comments or sticky notes without needing to convert it back to a Word document.
